Submetering services Rental Contract – 5 years (quarterly payment over 5 years).

Service Deliverables

·        Supply & installation of BTU meters (hardware) on 5 year lease-to-own basis for all the units including common area assets.

·        Registration of end-users, reading, billing, maintenance & collection.

·        Payment collection management via various options.

·        Express/ final bills, move in/out services. Scope of Work

Registration of end-users (tenants / owners):

·        Integrating end-user information to the billing platform.

·        Creating database and billing requirement tailor made to project specifics including property setup information and necessary IT infrastructure.

·        Registration/End-user agreement.

 

Meter Reading and Monthly Billing:

·        Finalizing billing methodology, bill template, etc.

·        Extraction and evaluation of meter data read-outs.

·        Data processing and validation identifying reading irregularities, wherever applicable.

·        Individual bills distribution electronically to end users / client as applicable.

·        Uploading information to all payment gateways.

·        Customer service support.

·        Special reports, if required (additional charges may apply).

 

Maintenance of BTU Meters (Sub-Meters Only):

·        Meter maintenance and soft checks as per manufacturer recommendations.

·         Suspected meters from soft checks to be physically inspected on sampling basis if required.

·        Data validation checks including frequent reads.

·        Meter reading system backup and updates

 

 

 

 

 

Collection (Utility Account Management):

·        Signing end-user agreements with end users (tenants / owners as applicable).

·        Collect and manage customer deposits.

·        Registration / connection charges.

·        Collections through available payment gateways and keeping track of individual accounts and payment status.

·        Focal point for customer service answering client calls regarding AC billing.

·        Maintain updated client database, bank reconciliations.

Management reports wherever applicable.

Additional Instructions

·        Contractor must have valid license for the related work

·        The work must be carrierd out and must be approved as per RSB and local authority requirements.

·        All work must be completed in comply with site requirements and to follow the safety procedures always

·        All work related WMS and RA to be submitted

·        All staff must be professional and must be aware of work requirements

·        All work must be done in coordination with client appointed FM represenattaive or onsite FM service provider team

·        All respective drawings, warranty documments,software licenses, system manuals etc. must be submitted along with work completion certficate

·        The proposal must be inclusive of all associated cost. Any exclusion to be mentioned clearly

·        Make, model rating and specifications to be mentioned in proposal clearly along with applicable warranty

·        Payment terms to be mentioned clearly.

·        The contractor must visit the building to clarify the requirements if any.

·        Contract draft to be submitted by contractor along with proposal.

Terms & Condition

No Subcontracting: In accordance to Jointly Owned Property Law No.6,2019, Notwithstanding anything in this Agreement, the vendor/contractor may not use any subcontractor to perform any of his obligations under this work order. Unless: 

(a) Vendor has obtained the prior written consent of SAGA to the use of the subcontractor, and 

(b) Vendor has entered into a separate written agreement with the subcontractor which requires the subcontractor to agree to and abide by all the terms and conditions of this Agreement. 

The Community shall be deemed to be a third-party beneficiary of any such agreement between the vendor and a permitted subcontractor. 

Notwithstanding the foregoing, the vendor shall not be relieved of any of its duties or obligations under this Agreement as a result of entering into a written agreement with a permitted subcontractor.

Payment will be done after work completion upon submitting the invoice along with work completion/service reports/warranty certificates.
