Contract Duration
The contract shall be for a fixed term of three (3) years. The quotation must be submitted on an annual-price basis, with the annual price remaining fixed throughout the contract period.
Project Requirements:
- Proven experience as a security guard or in a similar position.
- Valid SIRA certification as a trained security officer.
- Ability to operate detection systems and emergency equipment. Specific training will be provided by the Management.
- Excellent knowledge of public safety and security procedures and protocols.
- Strong surveillance skills and attention to detail.
- Good spoken and written English.
- High standards of integrity and professionalism.
- Security guards must be neat, well-presented, properly uniformed, and maintain high standards of personal hygiene.
- Security guards must always act professionally, avoid using personal mobile phones while on duty, and maintain appropriate professional boundaries with residents.

Scope of Work
The scope of work includes, but is not limited to, the following activities:
- Secure the building and protect its residents by conducting regular patrols and maintaining access control at all entry and exit points.
- Prevent loss and damage by reporting irregularities and informing violators of the building’s rules, policies, and procedures.
- Address unauthorised entry by stopping trespassers, escorting them from the premises, or contacting the police when necessary.
- Prepare detailed reports documenting observations, incidents, occurrences, and surveillance activities.
- Interview witnesses and obtain signatures and identification details from delivery personnel and other authorised visitors, as required.
- Maintain attendance records for Facilities Management personnel, cleaners, and other contractors visiting the site.
- Maintain records of visitors and contractors accessing private units and verify their work permits.
- Verify work permits upon confirmation from the Building Manager or Customer Service Officers.
- Monitor contractors’ activities to ensure that they remain within the locations authorised under their work permits.
- Record accurate details of any unusual occurrences, including indications of unauthorised shared accommodation or overcrowding.
- Develop and maintain occupancy records with the assistance of the Community Manager.
- Monitor on-site parking and ensure compliance with the community rules, a copy of which will be provided.
- Monitor unauthorised storage of materials in common areas and provide appropriate guidance and warnings to violators.
- Report all suspicious incidents in detail.
- Monitor the use of common facilities, particularly washrooms and lifts, and prevent or report any misuse or abuse.
- Monitor and control access at vehicle gates and ensure compliance with visitor access protocols.
- Monitor alarm systems and surveillance cameras and operate detection and emergency equipment when required.
- Manage and assist during emergencies, including immediately contacting the appropriate emergency services when required.
- Administer first aid or CPR, when necessary and qualified to do so, until the emergency services arrive.
- Ensure that all security guards are fully familiar with the Emergency Evacuation Plan and that a copy is always maintained at the reception desk for reference.
- Identify and report any damage to common areas to the Facilities Manager, including any misuse or damage caused by retail units.
- Identify and report general maintenance issues observed during patrols, including water leaks and lighting failures, to the Facilities Management team.
- Promptly inform the Facilities Management team of any emergency call-out requirements.
- Assist residents with special needs and maintain up-to-date information regarding their locations to support emergency evacuation procedures. This information must be shared with the Fire Commander upon arrival at the building.
- Conduct a safe and organised evacuation of the building during an emergency until the emergency services arrive.
- Assist in enforcing any public-health protocols required by the relevant authorities.
Working Hours
Each security guard shall work a 12-hour day or night shift, including a one-hour break. Security coverage must be provided 24 hours a day, seven days a week.
Vendors should only submit a fully detailed proposal after site visit to ensure the full scope of work required and access conditions are fully understood.
Terms & Condition
Payment terms are 30 days after submission of Invoice to accounts@itihad.co.ae (read receipt requested) along with signed work completion or service report and any other documents required by the bank to release funds from RERA regulated escrow account
The Supplier certifies that to the best of his knowledge and belief no economic, beneficial, or managerial relationship exists between the Supplier and any employee of Itihad Community Management (ICM) or between Supplier and any relative of an employee of ICM or any of its agents, which would tend in any way to influence such employee in performance of his or her duties on behalf of ICM or its agents in connection with the awarding, making, amending, or making a determination concerning performance of its proposal the work or the agreement.
Exchanges or offering of any money, gift item, personal service, entertainment or unusual hospitality by the Supplier to the employees or agents is expressly prohibited. This prohibition is equally applicable to officers, employees, or immediate family members of ICM’s agents. Any violation of this provision constitutes a material breach of ICM’s terms of agreements.
ICM may by written notice to the Supplier disqualify and reject the Supplier’s proposal and terminate the agreement without any liability whatsoever on part of ICM or any of its agents if finding (a) that vendor violated the certification contained in this declaration regarding conflict of interest; or (b) that gratuities were offered or given by the Supplier or any of its employees , agents or representatives, to any officers or employees of ICM or its agents awarding making and/or amending an RFP document or agreement or securing favorable treatment with respect to the performance of such agreement.
Itihad Community Management is not under any obligation to accept the lowest or any proposal.
In the event the Management deems the work unsatisfactory or encounters delays, it reserves the right to impose penalties on the Service Provider or terminate this Work Order with a 3-day prior notice.
