1. Project Overview
This project involves the full replacement of two existing Carrier 30GX-267-AO353 - NEE Air Cooled Chillers with new, energy-efficient models. The work includes assessment, equipment supply, decommissioning, installation, testing, and commissioning. All activities will be carried out on a turnkey basis with no variations or extras to be entertained post-contract award.
2. Site Survey and Assessment

Conduct a comprehensive site survey to assess the current condition of the existing chillers and surrounding MEP infrastructure.

Evaluate the cooling load requirements based on current and future needs.
-
Assess power supply availability, piping configurations, and space constraints.
-
Recommend best-fit replacement model(s) with improved efficiency, capacity, and compliance with current DEWA and Green Building requirements.
Deliverables:

Detailed site survey report with chiller selection justification
-
Load calculation and technical comparison
-
Risk and logistics assessment for removal and replacement
3. Equipment Supply
-
Supply two new Air Cooled Chillers matching or exceeding the performance specifications of the existing Carrier 30GX-267-AO353 units.

Include all ancillary components such as:
-
Vibration isolators
-
Control panels and sensors
-
Compatible BMS interfacing components
-
Piping accessories and fittings
-
The equipment must:
-
Be brand new, factory-tested, and CE/UL certified.
-
Carry a minimum 3 years warranty from the date of commissioning.
4. Approvals and Permits
-
Apply for and obtain all necessary permits and No Objection Certificates (NOCs), including:
-
RTA road occupancy permit if crane or heavy lifting is involved near roadways
-
Civil Defense, DEWA, or Municipal NOCs as required
-

Coordinate with facility management and regulatory authorities to ensure zero non-compliance.
5. Decommissioning and Removal
-
Safely disconnect and decommission the existing chillers, ensuring:
-
Proper evacuation of refrigerant as per EPA/Federal environmental standards
-
Disposal or reuse of removed units in accordance with local guidelines
-

Use crane/lifting equipment as needed, with full traffic and safety planning
6. Installation Works
-
Civil and MEP works to prepare base and connections for new chillers
-
Install new units including:
-
Mechanical fixing
-
Electrical power and control cabling
-
Condensate and chilled water piping connections
-
System insulation and supports
-
-
Perform pressure testing on piping
7. Testing, Commissioning, and Handover

Perform:
-
Pre-startup checks
-
Test run and performance validation under load
-
Balancing and tuning of chilled water system
-
-
Provide:
-
O&M manuals
-
As-built drawings
-
Commissioning report
-

Conduct training for client’s operations and maintenance team
8. Project Timeline
-
Site survey and report: 7 days
-
Equipment delivery: As per lead time (to be specified)

Installation and commissioning: 15–30 working days (excluding equipment lead time)

Final handover: Within 2 weeks after successful commissioning
9. Exclusions
-
None. All works and contingencies must be accounted for in the proposal.

No variations or extras will be entertained post-award.
Terms & Condition
Payment terms are 30 days after submission of Invoice to accounts@itihad.co.ae (read receipt requested) along with signed work completion or service report and any other documents required by the bank to release funds from RERA regulated escrow account.
The Supplier certifies that to the best of his knowledge and belief no economic, beneficial, or managerial relationship exists between the Supplier and any employee of Itihad Community Management (ICM) or between Supplier and any relative of an employee of ICM or any of its agents, which would tend in any way to influence such employee in performance of his or her duties on behalf of ICM or its agents in connection with the awarding, making, amending, or making a determination concerning performance of its proposal the work or the agreement.
Exchanges or offering of any money, gift item, personal service, entertainment or unusual hospitality by the Supplier to the employees or agents is expressly prohibited. This prohibition is equally applicable to officers, employees, or immediate family members of ICM’s agents. Any violation of this provision constitutes a material breach of ICM’s terms of agreements.
ICM may by written notice to the Supplier disqualify and reject the Supplier’s proposal and terminate the agreement without any liability whatsoever on part of ICM or any of its agents if finding (a) that vendor violated the certification contained in this declaration regarding conflict of interest; or (b) that gratuities were offered or given by the Supplier or any of its employees , agents or representatives, to any officers or employees of ICM or its agents awarding making and/or amending an RFP document or agreement or securing favorable treatment with respect to the performance of such agreement.
Itihad Community Management is not under any obligation to accept the lowest or any proposal.
In the event the Management deems the work unsatisfactory or encounters delays, it reserves the right to impose penalties on the Service Provider or terminate this Work Order with a 3-day prior notice.
