Annual Maintenance Contract (AMC) – Non-Comprehensive
Laundry Machines (Coin-Operated Washing Machines & Dryers)
1. Contract Overview
This Scope of Work defines the services to be provided under a Non-Comprehensive Annual Maintenance Contract (AMC) for the maintenance and technical support of installed coin-operated laundry machines at the designated site.
The equipment covered under this AMC has been supplied and installed by E Smart Laundry Machine Trading LLC.
2. Equipment Covered (Brand & Quantity)
The AMC shall cover the following installed laundry equipment:
Brand: E SMART
Washing Machines:
Quantity: 8 Nos.
Type: 6 kg Front-Load Coin-Operated Washing Machines
Dryer Machines:
Quantity: 8 Nos.
Type: 7 kg Coin-Operated Dryers
Installation Configuration:
Machines installed on stackable MS powder-coated stands within designated laundry areas
3. Contract Duration
The AMC shall be valid for a period of one (1) year from the effective start date.
Renewal shall be subject to mutual agreement between both parties.
4. Planned Preventive Maintenance (PPM) Frequency
PPM Frequency: Monthly (12 visits per year)
PPM visits shall be planned, documented, and coordinated with site management
Additional visits, if required, shall be attended on a call-out basis
Monthly PPM is adopted due to high-frequency daily usage of coin-operated laundry machines.
5. Scope of Services
5.1 Preventive Maintenance (PPM)
During each scheduled PPM visit, the service provider shall:
Inspect washing machines and dryers for operational performance
Check basic electrical and mechanical safety conditions
Inspect hoses, drainage, belts, heating elements (dryers), and coin mechanisms
Identify potential faults and submit technical recommendations
Carry out minor routine adjustments to ensure continuous and safe operation
5.2 Corrective Maintenance (Non-Comprehensive)
Diagnosis of mechanical and electrical faults
On-site rectification of minor operational issues
Restoration of machines to proper working condition
Repairs involving major components or spare parts shall be executed only after separate approval.
5.3 Breakdown Response
Attendance to reported breakdowns in accordance with the Service Level Agreement (SLA) defined below
Emergency technical support limited to inspection, diagnosis, and minor rectification
5.4 Bearing Replacement (If Required)
Bearing replacement shall not be carried out on site
Machines requiring bearing replacement shall be transported to the service provider’s workshop and returned after completion
Associated costs and logistics shall be subject to prior approval
6. Emergency Response & Service Level Agreement (SLA)
The service provider shall respond to service requests in accordance with the following priority matrix:
Priority 1 – Emergency
Response Time: Immediate (within 1 hour)
Immediate safety risk or critical operational disruption
Priority 2 – Urgent
Response Time: Within 2 hours
Risk of injury, equipment damage, or serious service disruption
Priority 3 – Expedited
Response Time: Within 8 hours
Non-critical issues requiring prompt resolution
Priority 4 – Scheduled
Response Time: Within 24 hours
Non-urgent or pre-approved scheduled works
Immediate Technical Support:
Remote technical assistance via phone call shall be provided immediately, where required, to the Building Security or FM team until site attendance.
7. Spare Parts & Warranty Coordination
Spare parts, if required, shall be provided based on actual requirement and subject to approval
Machines under manufacturer warranty shall be attended strictly in accordance with warranty terms
Where a valid AMC is in place, warranty-eligible repairs may be attended on site, subject to manufacturer policies
8. Subcontracting Restriction
Subcontracting of any part of the AMC services is strictly not permitted.
All preventive maintenance, corrective works, breakdown response, and technical support shall be carried out exclusively by the appointed AMC contractor using its own directly employed technicians.
Any violation of this requirement shall be treated as a material breach of contract.
9. General Terms
Services shall be performed by qualified and trained technicians
All works shall comply with applicable safety standards and site regulations
Any services beyond this scope shall be treated as additional works, subject to prior written approval
