The scope of work for the annual maintenance includes the following activities but not limited to:

1.     The Service Provider shall provide the agreed services of BTU meter maintenance and data validation. The Service Provider agrees to deliver the Services in accordance with the monthly service schedule. The service schedule dates may be varied at any time by the OA Manager to suit the needs of the premises. The resource levels must remain adequate and does not include time off for annual holidays. The Service Provider should maintain the same personnel at the Site for continuity and efficiency of the service delivery.

2.     The Service Provider is required to provide the necessary resources for the provision of agreed services:

a.     All required manpower including managers/advisors/safety supervision/training (off site),

b.     Reading, data validation & maintenance of BTU meters on a comprehensive basis (spare parts prices charged extra on agreed rates after expiry of the warranty). (Frequency in bold)

                              i.        Extraction, evaluation and validation of meter data read-outs. Monthly

                             ii.        Data processing and validation identifying reading irregularities and analysing wherever applicable. Monthly.

                             iii.        Meter maintenance and soft checks. As required including on call.

                            iv.        Physical inspection of suspected meters from soft checks. As required, no later than monthly.

                             v.        Meter reading system backup and updates. Monthly.

c.     Monitoring and maintenance to enhance the performance and lifetime of the BTU metering system. Monthly

d.     Available stock and speedy meter replacement to minimise estimation bills. Maximum 14 days from identifying a defective meter.

e.     Service provider’s own In-house technical team. Continuously.

f.      Toll free customer service centre.. Normal Business Timings.

3.     Energy audit visit to check certain building equipment and submit reports to Client for tariff recommendations and energy saving strategies. Annually

4.     All additional works will be instructed after receiving a written confirmation of the additional works and agreement in advance of the sums payable. The Employer or Employer’s Representative may issue a verbal order for emergency works which must be confirmed in writing as soon as practicable after issuing the verbal order.

5.     Provide the following rates for out of warranty spare parts that shall be charged as additional:

a.     Unit price for the supply & installation of new battery: AED _________

b.     Unit price for the replacement of faulty meter: AED _________

(provide a range of prices based on the size of units installed in the building)

c.     Unit price for the installation of new temperature sensor: AED _________

(up to meter model Qp 2.5 model, price for higher models to be mutually agreed on)

d.     Unit price for supply of M-Bus Master (with RS 232 connection) or other networking devices:

 AED _________

Vendors should only submit a fully detailed proposal after site visit to ensure the full scope of work required and access conditions are fully understood. 

Terms & Condition

Payment terms are 30 days after submission of Invoice to accounts@itihad.co.ae (read receipt requested) along with signed work completion or service report and any other documents required by the bank to release funds from RERA regulated escrow account

The Supplier certifies that to the best of his knowledge and belief no economic, beneficial, or managerial relationship exists between the Supplier and any employee of Itihad Community Management (ICM) or between Supplier  and any relative of an employee of ICM or any of its agents, which would tend in any way to influence such employee in performance of his or her duties on behalf of ICM or its agents in connection with the awarding, making, amending, or making a determination concerning performance of its proposal the work or the agreement.

Exchanges or offering of any money, gift item, personal service, entertainment or unusual hospitality by the Supplier to the employees or agents is expressly prohibited. This prohibition is equally applicable to officers, employees, or immediate family members of ICM’s agents. Any violation of this provision constitutes a material breach of ICM’s terms of agreements.  

ICM may by written notice to the Supplier disqualify and reject the Supplier’s proposal and terminate the agreement without any liability whatsoever on part of ICM or any of its agents if finding (a) that vendor violated the certification contained in this declaration regarding conflict of interest; or (b) that gratuities were offered or given by the Supplier or any of its employees , agents or representatives, to any officers or employees of ICM or its agents awarding making and/or amending an RFP document or agreement or securing favorable treatment with respect to the performance of such agreement. 

Itihad Community Management is not under any obligation to accept the lowest or any proposal.

 

In the event the Management deems the work unsatisfactory or encounters delays, it reserves the right to impose penalties on the Service Provider or terminate this Work Order with a 3-day prior notice.
