The scope of work relates to the maintenance and operation of the primary HVAC system components. The service provider is expected to be knowledgeable and experienced in operating and maintaining similar systems.
Includes the following activities but not limited to:
- Semi Comprehensive
service agreement for 2 chillers. Includes all service consumables, spare
parts and breakdowns, but excludes major assemblies as detailed more
specifically below..
- FAHU with HRW - 2 Nos.
Including FAHU Bag filter replacement 2 times per year - 2 sets and drive
belts as required. Bag filter manual cleaning monthly 10 times per year.
HRW disinfection and cleaning 4 times per year.
- Chilled water pumps and
valves - 5 Nos.
- Chilled water chemical
dosing unit and pressurisation unit. Including all chemicals for top ups.
Excludes refills.
- 12 monthly maintenance
visits to monitor the system efficiency and make the required adjustments
to keep the system operating at peak efficiency..
- Quarterly microbiology
analysis (4 samples/year) for closed chilled water system per annum.
Includes monitoring water quality and contamination levels to advise on
system flushing requirements.
- Vendors should only
submit a fully detailed proposal after site visit to ensure the full scope
of work required and access conditions are fully understood.
- This is an output based
service agreement where the delivery of the services is based on ensuring
that the equipment is fully functional and continuously available for
cooling the Premises to meet the demands of the Owners. The Service
Provider shall provide the necessary resources required to deliver the
Services in accordance with the preventative maintenance service schedule
set by the Original Equipment Manufacturer and any reactive maintenance
required to rectify any cause of breakdown. The service schedule may be
varied at any time by the Employer’s Representative to suit the needs of
the Premises. The Service Provider should maintain the same personnel for
continuity and efficiency of the service delivery. The Employer’s
Representative reserves the right to disapprove of any service provider’s
personnel on reasonable grounds.
- The Service includes all
parts and consumables required for carrying out the scheduled maintenance
as required by the OEM operating and maintenance manuals or Industry Best
Practise. This includes all:
- [Chillers:] lubricants, refrigerants, nitrogen,
seals, gaskets, filters, solenoids, valves, economisers, solders, flux,
tape, testing equipment, tools, wires, fuses, breakers, sensors,
transducers, electronic relays, circuit boards, displays, insulation,
pipes, hoses, coil cleaning chemicals, anti corrosion paint and
components, etc. Excluding replacement or overhauling of
major assemblies such as compressors, condensers, coolers, motors and
chassis or frame, leak repair work to coolers and condensers.
- [Fresh Air
Handling Units and Central Exhaust] lubricants, seals, gaskets, filters twice
annually, insulation, drive belts, solders, flux, tape, testing
equipment, alignment equipment, tools, wires, fuses, breakers, sensors,
transducers, pipes, hoses, coil cleaning chemicals, heat recovery wheel
cleaning chemicals, paint and components, etc. Excluding replacement
of major assemblies such as cooling coils, motors, fans, actuators,
valves and chassis or frame.
- [Pumps] lubricants, seals, gaskets, paint,
cleaning chemicals, bolts, carbon brushes, terminal contact cleaning
chemicals, shear pins, alignment tools, anti vibration mountings,
calibration equipment etc. Excluding motors, windings,
impellers and bearings.
- [Dosing and
make-up pressure pumps] lubricants,
seals, gaskets, cleaning chemicals, dosing chemicals, floats, pressure
switches, level sensors, unions, hoses, paint, calibration and testing
equipment, etc. Excluding pressure vessels, pumps, motor windings,
bearings, impellers.
- [Smoke Control
Fans] Check operation
quarterly (may require liaising with the Fire Alarm Contractor) and
general maintenance, cleaning contacts, lubricating bearings and checking
blades are secure.
- General
exclusions; Eddy current
testing, damage caused by external sources, BMS related works, works
caused by deficiency of design or installation, any extensive steel or
civil works including full repainting.
- 24/7 call out service for
breakdowns to be provided.
- Provide information,
guidance and operating instructions to the permanent technical staff
located in the building on proper and safe operation and monitoring of the
equipment covered under this agreement.
- Provide Energy Management
services by adjusting all valves, pumps, VFD, PLC, Chillers and Air
Handling Units to maximise operating efficiency and minimise energy
consumption with the changes in seasonal temperatures and cooling load
demands.
- Attendance staff during
rebalancing, if necessary. If it becomes necessary due to poor zone
cooling in any floor or section of the building, the service provider will
be required to provide their technical and service support along with the
main MEP/FM staff to measure and rebalance the air supply and exhaust and
chilled water supply and return flow balancing. This will be considered as
part of the contracted service scope.
- The chosen contractor is
expected to have a sound knowledge of energy saving requirements and
technologies and is expected to provide advise, suggestions and costings
for implementing new equipment and IOT technologies that can offer
substantial savings during the operation of the cooling and air handling
equipment.
Important: The service provider must visit the site and
verify the quantity and condition of assets covered under the maintenance
agreement.

"Response Time" is defined as reacting
to and confirmation of attending to the service request. |

"Attendance Period" is defined as the
time from the initial service request to commence a permanent repair which is
a completely safe solution, or a temporary repair which is completely safe,
followed later by a permanent repair which is planned/scheduled and executed
within pre agreed timeframes. |

EMERGENCY work refers to
“Priority High” work and is defined as; failures or wants of repairs of the
installation which constitute a danger, health hazard, present a significant
business risk, seriously affects occupation, or the relevant property
occupants operational effectiveness or endanger security and other
emergencies such as fire, flood etc. which impinge on the
installation/service. |

MAJOR refers to "Priority”
work, and is defined as: failures or wants of repairs that affect amenities
and present a business risk, but do not seriously affect occupation, health
or relevant property's occupants beneficial use. |

|
NORMAL refers to "Priority
Medium” work and is defined as work or service failure which does not present
a significant business or human risk and does not affect occupation, Property
occupants’ health or operational effectiveness |
||
|
LOW refers to work which are not
a priority due to the fact that the system capacity is unaffected or exceeds
the demands of the occupants. |

Terms & Condition
Payment terms are 30 days after submission of Invoice to accounts@itihad.co.ae (read receipt requested) along with signed work completion or service report and any other documents required by the bank to release funds from RERA regulated escrow account
The Supplier certifies that to the best of his knowledge and belief no economic, beneficial, or managerial relationship exists between the Supplier and any employee of Itihad Community Management (ICM) or between Supplier and any relative of an employee of ICM or any of its agents, which would tend in any way to influence such employee in performance of his or her duties on behalf of ICM or its agents in connection with the awarding, making, amending, or making a determination concerning performance of its proposal the work or the agreement.
Exchanges or offering of any money, gift item, personal service, entertainment or unusual hospitality by the Supplier to the employees or agents is expressly prohibited. This prohibition is equally applicable to officers, employees, or immediate family members of ICM’s agents. Any violation of this provision constitutes a material breach of ICM’s terms of agreements.
ICM may by written notice to the Supplier disqualify and reject the Supplier’s proposal and terminate the agreement without any liability whatsoever on part of ICM or any of its agents if finding (a) that vendor violated the certification contained in this declaration regarding conflict of interest; or (b) that gratuities were offered or given by the Supplier or any of its employees , agents or representatives, to any officers or employees of ICM or its agents awarding making and/or amending an RFP document or agreement or securing favorable treatment with respect to the performance of such agreement.
Itihad Community Management is not under any obligation to accept the lowest or any proposal.
In the event the Management deems the work unsatisfactory or encounters delays, it reserves the right to impose penalties on the Service Provider or terminate this Work Order with a 3-day prior notice.
